How do I follow up with my recommenders without being intrusive?

Following up with your recommenders shows professionalism and ensures they haven’t encountered any issues with the submission process. Here’s how to strike the right balance between being proactive and intrusive:

Timing is Key #

  • Initial Contact: After you’ve requested a recommendation, send a brief follow-up email a week or two before the deadline to confirm receipt of your request and reiterate any essential details about the program/position.
  • Nearing the Deadline: A second follow-up email is appropriate if the deadline approaches and you haven’t heard back. However, wait at least 3-5 business days after the initial follow-up to avoid appearing overly pushy.

Keep it Concise #

  • Professional Tone:  Maintain a respectful and professional tone throughout your emails.
  • Focus on the Ask:  Express your gratitude for their time and consideration. Briefly inquire about the letter’s status and offer any additional assistance they might need.

Example Email #

Subject: Following Up – Recommendation Letter for EDHEC MBA program

Dear [Recommender Name],

I hope this email finds you well.

I’m writing to follow up on my request for a letter of recommendation for my application to the EDHEC MBA program. The deadline for submitting recommendations is [Date].

I understand you’re likely busy, so please let me know if you require any additional information or materials to write the letter. I’m happy to provide anything that might be helpful.

Thank you again for your willingness to support my application.

Sincerely,

[xyz]

Respect Their Decision #

  • Acknowledge Their Time:  If your recommender ultimately declines to write a letter, thank them for their time and consideration.
  • Explore Alternatives:  Politely inquire if they might be comfortable providing a shorter recommendation or a reference instead. However, respect their final decision.

By following these tips, you can effectively follow up with your recommenders without appearing intrusive. Clear communication and a professional approach will ensure a smooth recommendation process and contribute positively to your application.
