1)Please provide a brief description of your interaction with the applicant, how long you have known them, and, if applicable, the applicant’s role in your organization. 

I have known Vaibhav for more than six years now since he joined Coal India Limited in 2011 as a Management Trainee. He has trained under me in both Technical and Managerial capacities. He is presently working as a Deputy Manager and looking after the maintenance activities of Mining machineries.

2)How does the performance of the applicant compare to that of other well-qualified individuals in similar roles? (E.g. what are the applicant’s principal strengths?) 

As far as I remember, 6 years back Vaibhav joined the company with four other trainees. His dedication towards the work and overall confidence enthralls me. Compared to his peers, Vaibhav is an ambitious, result oriented and a passionate individual. He puts all his effort in getting things done when it matters most.

I remember one instance when our mine was expanding with heavy investment which were being monitored at corporate level, a new machine was installed in our mines which increased production. Our belt conveyor system, which brings back coal to surface, was insufficient to handle the increased production. Vaibhav was given charge to install 2 numbers of high capacity belt conveyors in a very short span of time. The task was tough and seemed impossible to get it done in 2 months. But Vaibhav and his team stepped up to the occasion and delivered the project right on the deadline. The performance of Vaibhav’s team was beyond our exception.

Vaibhav demonstrated a true leadership potential, leading from the front, staying for long hours and working with efficient collaboration. He delivered when it mattered most and after that he became one of the most trustworthy member of my team.

3)Describe the most important piece of constructive feedback you have given the applicant. Please detail the circumstances and the applicant’s response. 

Vaibhav overall strength lies in his urge to take up challenging jobs and deliver them on time, but sometimes he over stretches his limits and take up more responsibilities than required. 

Just after the overhauling of Continuous Miner equipment, a new set of Multi Utility Vehicles were being introduced in our project.  He asked me to give him the additional charge of those vehicle to him as he is a Mechanical Engineer to which I advised him that the task would be too difficult for him as he is already looking after a quite stretched up work. Looking at his enthusiasm to work with Diesel Engine, I assigned him the additional responsibility. Ultimately the task proved to be too demanding for him as continuously he use to stay long hours at site and was affecting his social life. 

I immediately advised him to off load some of the project. Although it was quite a challenging operation for him, I believe Vaibhav learned from his mistakes and learned how to be practical when it comes to professional life.      

4)Please comment on the applicant’s overall communication skills, professional impression, and poise. 

Vaibhav has a strong Communication skills. When he joined Coal India, he was completely new to the area and has a little knowledge of local language, bengali, and culture. I remember advising him to learn the language and the culture of the subordinates in order to have a smooth control. He took the feedback positively and started learning the language. Within 6-7 months he was able to converse with his subordinates and integrate into their culture. This shows his sensitivity and willingness to adapt to as per the needs of his team or his subordinates.

Vaibhav created his first professional impression very early in his career. After that there was no looking backward for him. I remember one instance when there was a breakdown in belt conveyor system, Belt snapped and one end went far down the incline from the other end, during the peak production month. Vaibhav was just a trainee under me and was 3-4 months old in the company. While his peer group were too hesitant after seeing this kind of breakdown, Vaibhav on the other hand asked me to assign him a team for fitting the rollers and brackets of the belt conveyor. He was very calm during those pressure condition and delivered the desired result during those stressful condition. Vaibhav created an impression that is still fresh in my memory. 

5)Indicate the candidate’s leadership characteristics and managerial potential. 

Vaibhav was appointed in Coal India in 2011. Since then he has worked in different capacity and have managed different groups in a single time. He not only takes the credit for his teams success, but also takes full responsibility for their failure. During the installation of the high capacity belt conveyor one of his Foreman took the wrong measurement during the installation period which resulted in belt getting off center. Vaibhav took the full responsibility for the failure and also got it rectified within the deadlines. 

Vaibhav was appointed as a Management trainee and after the training, he has managed three independent technical teams comprising of 24 personnel when he was an assistant manager. He has always been a collaborator enabling more potential in the team members.

He also led a team who was responsible for the rebuild of a Coal cutting machine. With the help of his team he successfully completed the project well before the deadlines. I remember, it was due to his team effort which led to the achievement of the production target of 2015.   This project was appreciated by the senior Management and won him the special achievement prize for the year 2015 for his managerial potential. In recognition of this project, he was promoted to Deputy Manager.

1)How long and in what capacity have you known the applicant? Please be specific.

I have known Aditya for about 2.5 years. I am the head of the Part Strategy and Cost Engine division and Aditya has been an integral part of my tem for the last 2.5 years.

2)What are the applicant’s most outstanding abilities or characteristics?

The best trait I see in Aditya is his ability to handle pressure. 

Last couple of years have been quite challenging for industry as a whole due to abrupt changes in laws related to the vehicle industry. Indian government introduced a new tax reform (GST), logistics laws (E-way) and committed to stricter emissions standards. 

In order to timely comply with these regulations a lot of work was done in a short period of time resulting in immense pressure on our employees. Under these circumstances Aditya consistently completed his targets well within prescribed time and in line with the company direction thus acquitted himself well and establishing himself as a calm, motivated and ambitious person. 

Furthermore he has displayed above average ability to grasp new skills and another distinguished trait that I have noticed in due period of two years is that he can quickly read through the temperament of another person and conduct himself accordingly thus ensuring smooth business negotiations. 

3)What are the applicant’s most noticeable weaknesses?

Aditya is a very sincere worker with very positive demeanour, but his over polite attitude and the softness in voice sometimes has let him down.

At times i have noticed that he fails to clearly convey the urgency or the importance of a particular objective. He should work on his communication skills especially tone modalities so that a third person understands the importance and does devote due time to the assigned task.

I have advised Aditya regarding this issue with him in our mid-year career conversations in 2019 while commending him on his overall professionalism. He was very responsive and welcoming of my review and I believe he has improved based upon my feedback as I did not come across such an incident again.
